Introduction

Purpose

The purpose of this policy is to provide a framework for the utilisation and management of annual leave at the City of Greater Geelong (the City) and is to be read and applied in conjunction with the City of Greater Geelong Enterprise Agreement (the Agreement) and the Annual Leave Management Guidelines.

This policy revokes the Annual Leave policy Version 1 approved on 3 April 2020


Scope

This policy applies to all employees who are covered by the Agreement excluding those who are employed on a casual basis.

Policy

Accrual of annual leave

  • Annual leave entitlements under the Agreement accrue on a daily basis progressively throughout the year starting from the commencement of the employee’s employment.
  • The following absences will not count as service for the purpose of annual leave accrual:
    • unauthorised absence;
    • leave without pay; and
    • unpaid parental leave.

Applying for annual leave

  • Other than in exceptional circumstances annual leave must be approved prior to being taken.
  • Requests for annual leave must be submitted by employees using either the online Employee Self Service (ESS) system; or by submitting a paper leave form to their supervisor. This should be done as soon as reasonably practicable prior to the taking of annual leave.
  • Note that if the leave request is related to family violence please refer to the Family Violence Leave Policy for further guidance including other leave options which may be available.

Payment whilst on annual leave

  • An employee will be paid at their ordinary rate of pay during periods of annual leave.
  • Payment whilst on annual leave will be made to the employee in their usual pay cycle. However employees may apply to be paid in advance of the taking of their annual leave in special circumstances. The request must be made at least two weeks’ in advance of the employee taking leave. Annual leave will only be payable in advance for periods of one or more weeks of annual leave.
